The Secretary for the Yankton Office is a key position in the operations of the Vocational Rehabilitation (VR) Office. Vocational Rehabilitation is a successful State and Federal funded program that has demonstrated success in assisting individuals with disabilities in obtaining employment. The Secretary is the first person many of the applicants/clients will meet. Good customer service is a critical component of this position. The position will provide receptionist services, scheduling of appointments, maintain files, maintain financial records to support office operations, process bills, and perform other general secretary duties. This position is an office position typically 8 hours a day, Monday thru Friday.
The Ideal Candidate Will Have:
The ideal candidate will have great customer service skills, able to multitask, and work with a variety of people.
Knowledge of:

English, including grammar, spelling, and punctuation;

computer applications such as Word, Excel, and Internet Explorer;

department rules, procedures, and functions;

basic mailing procedures.
Skills to:

accurately schedule client appointments with VR Counselors
-
work effectively with service providers, service organizations, employees, and clients;
-
effectively communicate with agencies, personnel, and clients;
-
prepare and deliver clear information; and
-
organizational skills to effectively perform all functions of the job in a timely fashion.
Ability to:

Word process and complete forms accurately,
-
read and comprehend materials;
-
maintain accurate records and filing system;
-
operate a variety of office equipment;
-
communicate effectively;
-
exercise tact, patience, and discretion in communicating and dealing with persons of varying backgrounds and temperament;

use a case management computer system;

organize, prepare, and update case files and basic records;

work effectively with a team of co-workers;

provide good customer service to providers, applicants, clients and their families;

understand and work effectively with individuals who have a variety of disabilities;

maintain inventory of forms and materials;

accurately process payments.
This position is eligible for Veterans’ Preference per ARSD 55:10:02:08.
