Executive Coordinator – to COO
Location: Thermo Bond Buildings - Brandon, SD
Reports to: Chief Operating Officer (COO)
Type: Full-Time, Exempt
The Executive Coordinator will serve as a trusted right hand to the COO, helping drive alignment, execution, and clarity across all operational functions. This role is focused on managing time, communication, and internal coordination—while also supporting project tracking, leadership visibility, and strategic initiatives. The ideal candidate thrives in a fast-paced, high-accountability environment and brings strong judgment, organizational excellence, and experience supporting senior leaders. Key Responsibilities
*Executive Operations & Calendar Management
- Manage the COO’s calendar, meeting flow, and prioritization across internal and external demands.
- Schedule, coordinate, and prepare for executive meetings, site visits, customer calls, and board prep.
*Project Coordination & Strategic Follow-Up
- Track key initiatives and follow-ups across Operations, IT, supply chain, Project Management and engineering.
- Work with functional leaders to ensure alignment and accountability on next steps.
*Internal Communication & Culture Support
- Assist with drafting internal updates, leadership messages, and recognition communications.
- Coordinate employee engagement events, leadership roundtables, and onboarding plans for new hires.
*Community Engagement & Brand Visibility
- Support community partnerships, local events, and nonprofit involvement to help establish Thermo Bond as a trusted and recognizable brand across the Midwest.
- Coordinate internal and external initiatives that enhance our visibility as an employer of choice and strengthen our presence with local business groups, media, and civic organizations.
*Administrative & Logistical Support
- Manage travel, expense reporting, internal document prep, and day-to-day support needs for the COO.
- Serve as a liaison with internal departments and external partners on behalf of the COO.
Desired Qualifications
- 5+ years of experience supporting C-level executives or senior leadership in dynamic, fast-moving environments
- Sharp organizational instincts and a proactive mindset — you don’t wait to be told what’s next
- Exceptional written and verbal communication skills — polished, professional, and confident in any room
- Operates with discretion, strong judgment, and a calm presence under pressure
- Loves juggling priorities, solving problems, and staying one step ahead of what the exec team needs
- Comfortable working at a fast pace with high visibility and even higher expectations — we move quickly and expect results
- Proficiency in Microsoft Office, Teams, SharePoint, and other modern tools — bonus if you know how to make a great-looking slide deck
